To reserve a seat on an Ippo Travel tour you must submit your completed and signed Tour Registration Terms and Conditions to confirm your acceptance of our booking conditions. By signing these terms and conditions, you confirm that you are over the age of 18 and that you are authorized to make the booking on the basis of these booking conditions for each traveler named on the booking, and by his or her parent or guardian for all travelers under age 18 at the time the reservation is made. When we receive your completed and signed Tour Registration Terms and Conditions, we will send you an acknowledgment along with payment instructions. Upon receipt of your deposit as outlined below, we’ll send you the confirmation along with Medical Form and Tour/Waiver forms, which you will also be required to review, sign, and return to Ippo Travel.
2.Deposit and Final Payment
In order to confirm your booking, a non-refundable deposit of 10% of the total package per person per tour is due; please note that this excludes airline tickets. Final payment is due no later than 60 days prior to the start of the tour. If Ippo Travel does not receive final payment by this date, we reserve the right to cancel your booking and release your seats on the tour. In this case, we are entitled to keep all deposits paid or due at that date. If you book your trip within 60 days of your scheduled departure date, full payment must made be at the time of booking. In the case of billing errors, we reserve the right to re-invoice with the correct pricing. We accept checks, money orders, Visa, and MasterCard. Your payment is not considered completed until it is received by Ippo Travel and cleared by your banking institution. There is a non-refundable 4% credit card processing fee.
3.Cancellations and Refunds
All cancellations must be submitted to us in writing in the following manner: email to Kayoko@IppoTravel.com or mail to P.O.Box 370408, Denver, CO 80237. The cancellation date is the date we acknowledge receipt of the participant’s written notice. These cancellation fees apply regardless of the reason for the cancellation. Any applicable refunds will be made within 30 days of receipt of your cancellation request, and are subject to the following restrictions: ●121 days or more prior to your departure date: the Cancellation Fee is the non-refundable deposit you paid at the time of booking. ●120 to 31 days prior to departure date: the Cancellation Fee is 50% of the total tour package price. ●Less than 31 days prior to departure date, or a no-show: the Cancellation Fee is 100% the total tour package price As outlined in Paragraph 13, we strongly recommend that you purchase a travel protection plan to help protect you and your travel investment against the unexpected. 4.Change Fees For custom designed trips, a fee of $50 (USD) per person per change will be charged for any alteration or revision made to a travel date. A change of travel date or itinerary made less than 60 days prior to the travel date will be treated as a cancellation, and the standard cancellation procedures noted above will be applied.
For the benefit of everyone on your vacation, Ippo Travel reserves the right to accept or reject any traveler as a tour participant, and to remove from the tour any participant whose conduct is deemed incompatible by the tour escort with consideration to the interests of the other participants. We expect all clients to treat others with consideration and respect. If in our sole reasonable opinion you behaved in such a way that would likely cause danger, distress, or damage to any person or property, we are entitled, without prior notice, to terminate your trip at your own cost. In this event, we will have no further responsibility toward you and we will not pay any expenses or costs incurred as a result of the termination. In such an event, your participation will be subject to termination and without reimbursement. You accept responsibility for any damage, loss or legal action caused by your behavior. Full payment for actual or reasonably estimated loss must be made directly to the supplier, manager, or other individual whose property you have damaged. You will also be responsible and agree to indemnify Ippo Travel from any claims made against us and all costs incurred by us as a result of your actions, including all legal costs and reasonable attorney fees to us and to any third party. Please be aware that Ippo Travel does not conduct background checks on its clients, therefore every traveler is encouraged to exercise reasonable personal safety precautions.
6.Travelers Who Need Special Assistance
Please advise Ippo Travel before booking of any disability or medical condition your or a member of your party may have so that we can assist you in selecting a trip suited to your needs and limitations. We are happy to make reasonable attempts to accommodate the special needs of travelers, but cannot be held responsible in the event we are unable to do so, nor are we responsible for any denial of services by carriers, hotels, restaurants, or other independent suppliers. Confirmation that a special request has been noted or communicated to a supplier is not a guarantee that the request will be met. Be aware that outside of the United States, facilities for disabled individuals are limited. We regret that we cannot provide individual physical assistance to a tour participant for walking, dining, getting on and off trains and other modes of public and private transportation, or other personal needs. A qualified and physically able companion must accompany travelers who need such assistance. It is the participant’s responsibility to report any disability requiring special attention on the Tour Medical Form which is provided upon confirmation of a trip. Any pre-existing physical, mental, or emotional disability (including allergies) that may require attention or treatment must be reported via the Tour Medical Form prior to the beginning of the trip. Failure to return a complete and accurate Tour Medical Form may result in expulsion from the tour at your own expense and without reimbursement. Additionally, you must promptly notify us if your mobility or medical condition changes between completion of the form and your departure date. Our tours utilize public transportation and walking to get around. You will be responsible for your own property, documents, passes, and tickets that we will provide. If you are not able to keep up or stay with the group for physical, mental, situational, or other reasons, we may be able to accommodate you at an additional cost. These services could require extra time from the guide, an additional guide due to your slower pace, or tracking down your lost passport or train pass. If at any point you or the guides see that you are unable to continue, we will discuss any additional services we may be able to provide you or the best way for you to return home at your own cost. All travelers are responsible for being in sufficiently good health to undertake their trip; for obtaining the appropriate medical and cancellation insurance; for studying all pre-departure information; and for acting in a manner considerate of other participants and the countries visited. Travelers assume full responsibility for any loss, injury, death or damage to them, their family or their dependents arising in connection with their participation, or the participation of their family, in the trips, and for ensuring that they have adequate insurance coverage to cover any loss.
Trips are designed for adults. It is the responsibility of the parent or guardian of young travelers to understand this and to determine whether activities are suitable for the young traveler. Travelers who are less than 18 years old on the tour departure date must be accompanied by a parent or guardian at all times.
Accommodations are primarily non-smoking. Ippo Travel will make the best effort to accommodate your request. However, Ippo Travel cannot guarantee we will be able to accommodate your request. You agree to abide by the policies of the suppliers.
9.Passports and Visas
All travelers are responsible for obtaining their own passport and/or visa, and for obtaining all health documents, and any other documents required by Japanese laws and orders. Non-US citizens must consult with appropriate consulates to determine if any visas are needed. If visas are required, we can assist you with this upon request. All costs associated with obtaining any such documentation must be paid by you. We cannot be held responsible if you are refused entry into any country or port due to failure on your part to obtain and carry the proper travel documents. All passports must contain at least five blank pages, and must be valid for six months after the completion of your trip.
10.Not Included in the Tour Price
Federal Inspection Fees for the U.S. Customs and Immigration; International Air Transportation Tax; agricultural tax; Value Added Taxes, any other taxes; security fee; airport taxes and fees; passports; visas and vaccinations; laundry; telephone; mini bar; alcoholic beverages, porterage at airports; and all other items of a personal nature are not included in the purchase price of the tour package. Any such expenses will be paid for by the participant.
11.Health and Safety
Please be aware that during your participation in tours operated by Ippo Travel, certain risks and dangers may arise beyond our control including, but not limited to, the hazards of traveling in undeveloped areas; travel by boat, train, automobile, aircraft, or other means of transportation; the forces of nature, political unrest and accident or illness in remote regions without means of rapid evacuation or medical facilities. Many countries including Japan are not as accommodating or accustomed to strict dietary and food preparation requirements as the US; Ippo Travel shall not be responsible for illnesses resulting from food allergies or contamination. Ippo Travel shall not have liability regarding provision of medical care or the adequacy of any care that may be rendered. By signing these Terms and Conditions, you acknowledge that you are voluntarily participating in this tour and you are fully responsible for any risks. You agree to hold Ippo Travel harmless for any accident, injury, or illness that may occur throughout the course of your trip.
Tour itineraries are subject to change without notice. In case of attractions closures, schedule changes with no advanced warning and transportation schedule change, Ippo Travel will make its best effort to replace that attraction with another comparable replacement. Ippo Travel reserves the right to make changes in the itinerary whenever Ippo Travel deems necessary for the comfort, convenience, or safety of the tour participants. Uncompleted portions of the tour itinerary shall not be refunded. If, after tour departure, the services included in the tour cannot be supplied, or there are changes in an itinerary for reasons beyond the control of Ippo Travel, Ippo Travel will make its best efforts to arrange for the provision of comparable services. However, Ippo Travel shall not be responsible to provide a refund if we are unable to provide an adequate replacement.
13.Travel Insurance Coverage
It is your responsibility to have appropriate travel insurance. We strongly recommend that you purchase a travel protection plan to help protect you and your travel investment against the unexpected. Travel protection can include coverage for trip cancellation, trip interruption, emergency medical and emergency evacuation / repatriation, trip delay, baggage delay, and more, depending on the plan you select. Please note that travel insurance is NOT included as part of your package. However, for the convenience of our clients who are legal US residents, we offer travel protection through Travelex Insurance Services. The product descriptions above are only brief summaries and are subject to change. For full coverage terms and details, including limitations and exclusions, please contact Travelex directly. The trip price does not include any health insurance/international health insurance coverage. We strongly recommend that you review your personal and health insurance policies to ensure you have coverage appropriate to meet your needs, and the needs of your family and dependents, in case of any loss of property, or accident, injury or death. We highly recommend working with your insurance provider to determine any additional insurance needs.
14.Travel Advisories and Warnings
It is the responsibility of the traveler to become informed about the most current travel information, advisories, and warnings by referring both to the U.S. State Department’s travel website at www.travel.state.gov/ or by phone at 1-888-407-4747 and by accessing the Centers for Disease control (CDC) website at https://wwwnc.cdc.gov/travel/notices. In the event of an active State Department Travel Advisory Level 3 or 4 against travel to a specific location on your itinerary, Ippo Travel will reroute your trip to avoid that specific locale. If it cannot do so and if you still chose to travel to the locale of a warning, you assume all risk of personal injury, death, or property damage that may arise out of or which relates to the type of events warned against.
15.Tours Cancelled by Ippo Travel
Except as otherwise provided herein, in the unlikely event your tour is cancelled because of unforeseen circumstances by Ippo Travel, the entire amount you have paid to Ippo Travel will be refunded to you within fourteen days after the tour’s cancellation. Once this refund is issued, Ippo Travel and its representatives will have no further obligations to its tour participants. Ippo Travel reserves the right to cancel any trip at any time if the safety, number of participants or quality of the trip is judged to be compromised. In such circumstances, we will refund all payments received by Ippo Travel and this shall constitute full settlement of any and all claims that you have or might have, presently or in the future, against Ippo Travel. However, we cannot be held responsible for any additional losses you may incur on travel arrangements or air tickets due to the trip cancellation. Ippo Travel does not assume any responsibility for any air and/or ground schedule changes. In rare instances, we may be forced by “force majeure” (see following clause) to change or terminate your trip. This is very unlikely, but if this does occur, we will be unable to make any refunds or provide other compensation.
Except where otherwise expressly states in these booking conditions, we cannot accept liability where the performance or prompt performance of our obligations under this contract is prevented or affected by, or you otherwise suffer any damage, loss, or expense, as a result of a force majeure. A “force majeure” means any event which we or the supplier of the service could not, even with all due care, foresee or avoid. Such events may include, whether actual or threatened, war, riot, civil unrest, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, epidemic, or closure of airports, and all similar events out of our control. Ippo Travel reserves the right to cancel any itinerary or any part of it, to make alterations in the itinerary as it deems necessary because of a force majeure event.
Ippo Travel is a tour operator. This means that we organize, promote, and sell trips consisting primarily of travel services provided by independent third party suppliers. All travel activities and services provided in connection with, before, after, or during your trip including but not limited to hotels, restaurants, and other providers, tour guides, local guides, ground operators, providers of optional tours or transportation of any kind are provided, owned and operated by independent third party suppliers whose employees, facilities, products, and services are not subject to our supervision or control. We do not act as an agent for any third party supplier. We are not liable for any claim for loss, damage, injury, death, misrepresentation, delay, inconvenience or disappointment arising from any action by a supplier. We will not be liable to you for any claim against a supplier unless the occurrence was due to our own gross negligence or willful fault.
18.Photographs of Participants
Ippo Travel may take photographs or video of its trips and trip participants. You hereby grant Ippo Travel permission to do so and for use of your name or likeness for promotional or commercial use without payment of any compensation to me.
19.Protection of Personal and Private Information
Ippo Travel and its Subcontractors use the client’s provided personal information only to the extent necessary for arranging transportation, lodging, and other services pertaining to the travel. Furthermore, Ippo Travel and Subcontractors provide in advance the client’s name, passport number, and the local place of travel to its providers via electronic communication means. Other than the above, for the purpose of providing the client with more satisfactory travel service in the future, the client’s personal information may be used to inform the client of new travel services, request that the client fill in a questionnaire, ask for the client’s comments on a travel he/she taken, or compile statistical materials
20.Time Limitation, Arbitration, Choice of Forum, and Law
Any claim or legal action against Ippo Travel, whether based on contract, or tort, or statutory, constitutional, or other legal rights, must be commenced within one (1) year from the date of injury or incident giving rise to the claim. You agree that any claim against or dispute with Ippo Travel shall be referred to and resolved exclusively by binding arbitration. The arbitration shall be held in Denver,Colorado to the exclusion of any other forum, and you consent to jurisdiction and waive any objections to arbitration proceeding in Denver, Colorado. Any claim or dispute arising from this contract with Ippo Travel shall be governed by the laws of the State of Colorado.
21.Change of These Terms
We reserve the right, in our sole discretion, to change these Terms at any time. Updated versions of the Terms will be posted and are effective immediately on posting. Please check frequently to see if these Terms changed. We look forward to working with you to plan the trip of a lifetime.
